This is a booking demand sheet, the arithmetic a room scheduling system should run before anyone says there are never enough rooms. Bookings requested times average length is the hours requested; rooms times bookable hours per day times working days is the capacity; requested over capacity is the demand; requested over one room's weekly hours is the rooms it would take at full use; and capacity less requested is the spare. Hours requested against capacity

162 requests at an hour and a half is 243 hours against 270 across six rooms, 90% on the worked example. A demand figure near capacity does not mean every request fits, because requests cluster; it means the office is close to needing the next room.

Rooms needed at full use

243 hours over 45 hours a room is 5.4 rooms at full use: six rooms is enough on paper, and the effective utilisation sheet says whether the no-shows are eating the difference. The sheet returns the decimal so the argument is about the tenth of a room, not a feeling.

Spare hours

270 less 243 is 27 spare hours a week, the room for a rush booking or a recurring slot. The paid plan keeps the requests that found no room, which is the demand the calendar never shows.

Is this a free room scheduling system?

The sheet shows demand over 100% and negative spare hours, and the rooms-needed figure says how many more rooms it takes. Whether to add a room, shorten the default booking or release no-shows faster is the office's decision; the sheets show what each does.
