This is a room count sheet, the question meeting rooms management comes down to at every lease review: how many rooms does this office need. Staff times the share who need a room on a given day, times meetings per person, times average length, is the room-hours needed per day; bookable hours per room times the target utilisation is what one room gives; the first over the second is the rooms to hold. Every figure is yours, including the target; the sheet publishes no benchmark. Free, on the page, no account; the paid plan keeps the bookings the answer is checked against.

Room-hours needed per day

120 staff, 30% of whom need a room on a given day, at one meeting each of an hour, is 36 room-hours a day on the worked example. The share and the meetings per person are the office's own habits; the sheet counts what they add up to.

What one room gives at the target

Nine bookable hours at 80% target utilisation is 7.2 room-hours a day per room. The target is yours because a room run at 100% has no slack for the meeting that overruns; the sheet applies the target and publishes none.

The rooms to hold

36 over 7.2 is five rooms. It is the number for the lease, and the booking demand sheet on this site checks it against the requests the office actually makes.

Meeting rooms management: common questions

How many meeting rooms does an office need per employee?

The sheet does not use a ratio, on purpose: it works room-hours from your own headcount, the share who meet, the meetings per person and their length, against what one room gives at your target utilisation. Five rooms for 120 staff on the worked example.

What target utilisation should I enter?

Your own; the worked example's 80% is arithmetic, not guidance. A higher target means fewer rooms and less slack; the sheet shows what any target implies.

Does Huddlevo track how many rooms are used?

Huddlevo Pro keeps every booking and check-in against the room, so the room count is checked against a year of real bookings rather than the habits entered here. The free sheet works the estimate.
