This is a room utilisation sheet, the figure a meeting room scheduler should report and an office manager works from the calendar by hand. Bookings times average length is the hours booked; rooms times bookable hours per room is the capacity; booked over capacity is the utilisation; booked times the no-show rate is the hours lost to empty rooms; and booked less those, over capacity, is the effective utilisation. Every figure is yours, including the no-show rate; the sheet publishes no benchmark. Free, on the page, no account; the paid plan keeps every booking with its check-in against the room.

Booked hours against bookable hours

90 bookings at an hour and a half is 135 hours against 270 bookable across six rooms, 50% on the worked example. The bookable hours are yours: nine hours a day, five days, is 45 a room, and a room that is only bookable in the afternoon carries fewer.

Hours lost to no-shows

A 20% no-show rate on 135 booked hours is 27 hours of rooms nobody used and nobody else could book. The rate is an input because the calendar cannot see it; a check-in can, and the paid plan records one per booking.

Effective utilisation

135 less 27 over 270 is 40%: the utilisation the office actually gets. It is the figure to bring to the lease review, and the sheet returns it beside the calendar's 50% so the two are never confused.

Meeting room scheduler: common questions

Is this a free meeting room scheduler?

It is a free sheet that works what a scheduler should report: enter rooms, bookable hours, bookings, average length and your no-show rate, and it works booked hours, capacity, utilisation, hours lost and effective utilisation on the page with no account. Huddlevo Pro keeps every booking with its check-in against the room.

How is meeting room utilisation calculated?

Bookings times average length, over rooms times bookable hours per room: 135 over 270 is 50% on the worked example. Subtract the no-show hours for the effective figure, 40%.

What no-show rate should I enter?

Your own, from check-ins if you record them or from a week of walking past the rooms if you do not; the sheet publishes no benchmark and the worked example's 20% is arithmetic. The paid plan records the check-ins so the rate is measured.
